Booking and Payment:

A booking with Big World Treks will be accepted when you have returned to us a legible, completed registration form, along with your non-refundable registration fee. Once a booking has been accepted then a contract is deemed to exist between yourself and Big World Treks. You will then be sent a confirmation invoice. Payments of any balance due must reach Big World Treks no later than six weeks prior to the trek departure date, whether or not you have received an invoice.

Late Payment:

The contract between you and Big World Treks will exist from the date on the confirmation invoice until the last day of the expedition. If the balance or full payment due is not received by Big World Treks by the date specified in the confirmation invoice, an additional administration fee may occur. Additionally, unless a delay in your payment has been agreed by in writing Big World Treks, we reserve the right to cancel your booking and retain your registration fee. We also reserve the right to pursue you for the unpaid balance due.

Price Charges after Booking: 

Prices of trips may be altered after you have booked, on account of UK government action, changes in exchange rates, transportation costs, and dues, taxes or fees changed airports or ports.  If price changes are imposed as the result of UK government action, we will charge or refund the consequences of such changes in full.  If price changes are imposed as a result of the exchange rates, transportation cost, dues, taxes or fee changes at airports or ports less than 30 days before the advertised departure date, we will neither refund you anything, nor make any further charges. More than 30 days before the advertised departure date and if the increase or decrease is 2% or less than the basic trek cost, we will neither refund you nor make a further charge. If the changes are more than 2% but less than 10% of the basic trip cost, we will refund you the difference or make an appropriate further charge. If there’s an increase of more than 10% of the basic trip price then you may cancel your booking; if you do so, we will refund you all money paid in respect to the trip, but we will not be responsible for the cost of visas, vaccinations, flights or other expenses incurred as a result of your booking to travel on this trip.

Prices are based on a minimum of ten participants, booking below this confirmation number are subject to change.

Cancellations:

In the unlikely event of your booking being cancelled for any reason by Big World Treks we will offer an alternative booking or full refund, minus any administration or cancellation fees incurred from airlines or local agents. Should you need to withdraw from the expedition through illness or injury, we will make every attempt to return all of your money after confirmation of injury or illness in writing from your GP. This will be minus the registration fee, plus any administration or cancellation fees incurred from airlines or local agents.

Special Requirements: 

If you have any special requirements please inform Big World Treks on registration for  your trek, or as soon as possible before the departure date for the trek. We will do our best to meet your requirements but cannot be held liable for our failure to do so.

Complaints and Complements:

If you have any complaints please feel confident in informing Big World Treks about any area you feel needs to be brought to our attention. The complaint will be dealt with professionally by our company director personally. We would also love to hear any complements that you may have for our company. The more clients correspond with us, the better we can make our company meet the needs of trekkers.

Passports and Visas:

We will offer advice on passport and visa requirements for each rip, but It is your responsibility to ensure that your passport and visa are valid and in date.

Insurance:

Travel insurance specific to your trip including repatriation and altitude (where applicable) is mandatory for all clients on our adventures outside of the UK and should be taken out as soon as you have had your registration confirmed by Big World Treks.Insurance is advised advised for events inside the UK. Although every effort will be made to fulfil planned itineraries, weather or other circumstances may cause them to be altered at short notice. In the event of any damage or loss of loan or hire equipment, the client will be responsible for repair or replacement at new cost.

Responsibilities:

Climbing and mountaineering are hazardous activities and to take part in them involves an acceptance of risk and of responsibility for one’s own actions. Whilst Big World Treks always ensure a high professional standard of care, safety and instruction, Big World Treks or any person working for them or with them will not be held responsible for any illness, injury or death sustained during mountain activities, nor will they be liable for any uninsured losses of your property.

Big World Treks or any person working for them or with them, reserves the right to exclude any client from participation in the planned activity if it is deemed that he or she may endanger the success of the rest of the party through lack of fitness, ill-health, poor acclimatisation, anti-social behaviour or dangerous technique. No refund will be offered to those excluded.  Any client who acts in contravention to the decisions or advice of a Big World Treks leader or any person working for or with any agents of Big World Treks must accept responsibility for their own actions.

General information:

Big World Treks give advice and information on matters of health, vaccinations and visas, currency’s, local conditions, equipment, clothing and other matters of good housekeeping.  You accept responsibility for all areas and particularly for obtaining the necessary visas and advice by your own doctors on all health matters.

This contract:

Terms and Conditions with Big World Treks will only be waived or varied, if any changes are agreed in writing by Big World Treks.

Privacy Policy:

Big World Treks Privacy Policy is applicable to all personal information given to us by trekkers. This policy is put in place to make all our customers feel confident about the privacy and security of personal details. All personal information given to Big World Treks by the client will not be shared, passed on or sold to any third party companies. Big world Treks pride themselves in the safety and wellbeing of their clients.
